Privacy Policy

This application is owned and operated by TailorMadeTech Pty Ltd ("TailorMadeTech", "we", "us"). We collect and process only the minimum data required for the application to function. We do not sell or share any data we collect with third parties.

POPIA Compliance

Both TailorMadeTech and Adaptix operate in South Africa. We aim to comply with the Protection of Personal Information Act, 2013 (POPIA). The company using this app (e.g., Adaptix) acts as the responsible party for any worker information it provides. TailorMadeTech processes such information solely to provide the service.

What We Collect

• Basic account identifiers for workers created by company administrators, including a generic email (e.g. name@adaptix.app), a phone number, and a name. Workers do not input sensitive personal information into the app.
• Operational data necessary to run fleet and logistics workflows (e.g., vehicles, assignments, locations).
• Daily aggregate counts of trucks and trailers on the app, pulled by TailorMadeTech for billing purposes.

How Data Is Managed

Company administrators are solely responsible for adding and removing workers and for managing any personal information they choose to store in the app. Workers are onboarded using company-provided details; the generic email used for access is not the worker's personal email and is only for app authentication.

Service Providers

We use Supabase for backend and database services. Supabase stores and processes data on our behalf to deliver application functionality. We do not currently use Google Maps in the app.

For our optional AI Fleet Manager feature, we send a structured summary of operational data (for example, vehicle status, services, refuels, pre-trip checks and tyre analytics) to OpenAI to generate natural-language reports and alerts. Where enabled, this processing is performed under OpenAI's API terms, and we do not allow OpenAI to train on your data beyond what is necessary to provide the service. Company administrators can disable the AI Fleet Manager feature in the My Account section if they do not want any data sent to OpenAI.

Use of Data

• Provide core application features and maintain secure access.
• Enable fleet visibility, assignments, and operational workflows.
• Produce daily aggregate counts of active and archived units solely for billing and operational analytics.

Data Sharing

We do not sell user or company data to third parties. We only share data with:

• Our infrastructure providers (such as Supabase) to operate the app; and
• OpenAI, but only when the AI Fleet Manager feature is enabled, and only for the purpose of generating fleet-management insights from your operational data.

Billing and Pricing Notice

We currently price the service on a usage basis. Unless otherwise agreed in writing, billing is calculated using daily aggregate counts of your organization's units. The current standard rates are R200 per active unit per month and R50 per archived unit per month. These rates and billing metrics may change from time to time with reasonable advance notice and will apply prospectively from the stated effective date. Your Responsibilities

The company using this app is responsible for ensuring that any worker information added to the system is handled in compliance with applicable laws (including POPIA) and company policies.
